This Privacy Policy concerns Babelware's own processing as a business and website operator. Where Babelware processes personal information solely on behalf of a client while delivering a software project, the client's relevant agreement and data-processing terms may instead determine the parties' respective data-protection responsibilities.

4. Our legitimate interests
Potential Babelware legitimate interests include operating and improving the business, responding to business enquiries, managing relationships with corporate clients and suppliers, securing business systems, preventing misuse, identifying organisations that may have a genuine business need for our services, and conducting proportionate B2B business development. We consider the impact on individuals and do not rely on legitimate interests where their rights and interests override our interests.
5. Who we share information with
Service providers and processors
Babelware uses the following actual service providers:
- Cloudflare: DNS and content delivery network.
- Microsoft 365: Business email and document processing.
- FormSubmit: Form processing. When you use our Start a Project form, your data passes through FormSubmit before reaching our systems.
- Microsoft Azure: Website and application hosting infrastructure.
Information may also be disclosed to professional advisers where necessary, where required by law, or in connection with a sale/reorganisation of the business where legally appropriate. Babelware does not sell personal information.
6. International transfers
Some service providers may process personal information outside the United Kingdom. Where UK data protection law requires safeguards for an international transfer, Babelware uses an appropriate lawful transfer mechanism.
7. How long we keep information
- Unsuccessful enquiries and prospective projects: Normally up to 24 months after the last meaningful interaction.
- Business development/prospect contact records: Normally up to 24 months after the last meaningful interaction, subject to periodic review. If somebody opts out or objects to marketing, we retain the minimum information needed on a suppression list so we can honour that request.
- Client/project correspondence and commercial records : Normally up to 6 years after the relevant client relationship or project ends, where necessary for contractual, accounting, tax or legal purposes.
- Financial/accounting records: At least the period required by applicable UK tax and company-record requirements, normally 6 years for relevant tax/accounting records.
- Technical/security logs: Up to 90 days, unless logs are required longer for an active security investigation.
Babelware may retain information for longer where required by law, where a dispute or legal claim exists, or where another legitimate reason requires it. Information is not retained indefinitely without purpose.
8. Security
Babelware uses appropriate technical and organisational measures designed to protect personal information against unauthorised access, loss, alteration or disclosure.
9. Your rights
Depending on the circumstances, UK data protection law may give you rights to:
- access personal information
- correct inaccurate information
- request deletion
- request restriction of processing
- object to processing
- receive certain information in a portable format
- withdraw consent where processing relies on consent
These rights are not absolute in every circumstance.
